Reporting & Correspondence Pilot

A measured deployment of an AI drafting assist for your team's grant reports, donor letters, and volunteer communications. The system drafts; staff and volunteers always edit. Integration is light-touch (Google Workspace, Microsoft 365). Includes a four-week supervised period, bilingual training, and templates aligned with grant-funder expectations.

Quarterly Stewardship

A monthly advisory engagement for non-profit leaders whose teams already use AI assists. Each quarter we sit with you, sample outputs, audit donor data handling, and write a brief for your board. Questions we hear often

Does using AI mean our donor data is shared with a third party?
We design each engagement with your PDPA obligations in mind. During the pilot, we advise on which types of content are appropriate for AI drafting and which should remain entirely internal. Donor-identifying information is handled according to your data-handling policies, not ours.
We are a small organisation with only two paid staff. Is this still suitable for us?
Yes. The Operations Listening Visit is specifically designed for organisations of any size — including those run mainly by volunteers. We calibrate our brief to your actual capacity, not an idealised version of it.
Will AI start deciding which beneficiaries receive support?
No. That is a line we are clear about. AI assistance in our engagements covers drafting documents — grant reports, donor thank-you letters, volunteer onboarding materials. Decisions about who receives support, who qualifies, and how funds are allocated remain entirely with your team.
How long does the Reporting & Correspondence Pilot take?
The pilot runs over four weeks. The first week covers setup and onboarding. Weeks two and three are active use with our supervision. In the final week we review outputs with your team and make adjustments before leaving you with a stable set of templates.
Our grant funder requires specific formatting in reports. Can the AI handle that?
We build templates aligned with common grant-funder expectations in Malaysia, including Yayasan and government-linked grant formats. If your funder has a specific template, we incorporate it during the pilot setup phase.
What does the Quarterly Stewardship engagement involve, practically?
Each quarter we schedule a half-day with your team. We review a sample of AI-assisted documents from the period, check that donor data handling remains within PDPA bounds, and note any changes in your reporting obligations. We then prepare a brief for your board and update your templates as needed. At year-end we produce a written summary suitable for your AGM.
